Learning Agreement & OLA

The Learning Agreement is the official document in which the student, the sending institution (Kilis 7 Aralık University) and the receiving institution approve the courses to be taken abroad and their recognised equivalents at home. At our University it is prepared and signed only digitally, as an Online Learning Agreement (OLA).

Prepare before you start

Ten minutes of preparation saves weeks of approval time.

Mobility details

Receiving institution, department, semester (autumn/spring) and the dates in your acceptance letter.

Course list (Table A)

Course code + title + ECTS from the receiving institution’s catalogue. Code and title must match the catalogue exactly.

Equivalent courses (Table B)

Code, title and ECTS of the K7AÜ courses to be recognised, agreed with your department coordinator.

Back-up courses

Keep 1–2 alternatives ready in case a course is cancelled or clashes.

The three stages of the OLA

In every stage the same signing order applies: student → K7AÜ (sending) → receiving institution.

BEFORE THE MOBILITY

Before the mobility

The main part; all three signatures must be complete before you leave.

  • Create an account at learning-agreement.eu (via MyAcademicID) and enter your personal and mobility details.
  • Table A: courses at the receiving institution (code, title, ECTS).
  • Table B: K7AÜ courses to be recognised.
  • Check the ECTS totals and sign.
DURING THE MOBILITY

During the mobility

Course cancelled, timetable clash, content changed → the change is made in the OLA.

  • Usually within the first 2–4 weeks, according to the host’s add/drop calendar.
  • In “During the Mobility” enter the deleted and added courses with a reason.
  • Sign again; a new course is not final until all three parties have signed.
AFTER THE MOBILITY

After the mobility

Recognition is based on the match between the Transcript of Records and the final OLA.

  • Obtain the Transcript of Records from the receiving institution.
  • Submit the final signed OLA and the transcript to your department coordinator; recognition is decided with the F03 Course Recognition Form.
  • Report any mismatch to the Erasmus+ Office without delay.

Table A / Table B rules

 
Exact spelling

Course code and title must match the receiving institution’s catalogue; do not copy from old lists.

ECTS balance

Table A and Table B totals should be balanced; the semester target is about 30 ECTS. Your department’s rule applies.

No clashes

Check the timetable before courses are accepted.

Not final until signed

Nothing is “final” until all three signatures are in place; changes follow the same rule.

Common problems

 
Approval is taking long

Check who is pending in the OLA “Status” view; send a polite reminder to the receiving institution (ask the Office for a template).

Wrong course code / title / ECTS

Before signing: correct and resubmit. After signing: a “During the Mobility” change is needed.

Catalogue changed, course cancelled

Add your back-up course with the current code and title in the “During” section.

ECTS total too low

Choose an extra or alternative course and update Table B with your coordinator.

Cannot log in

Change browser, clear cookies; send a screenshot with date/time to the Office.
