3 Application Process

This page explains the full incoming Erasmus+ procedure from nomination to acceptance, course approval, and pre-arrival preparation.

Important: You can apply only after your home university has officially nominated you.

 

2) Step-by-Step Process

Step 1 — Nomination

Your home university’s Erasmus Office nominates you officially.
After nomination, you will receive application instructions and links by email.

Nomination typically includes:

• Full name & email
• Department / study level
• Mobility type (Study)
• Planned semester and dates

 

Step 2 — Online Application

Once nominated, you complete the online application form provided by Kilis 7 Aralık University.

Key tips:

• Enter your details exactly as in your passport
• Double-check your department and semester
• Use an active email address (official communication will be sent there)

 

Step 3 — Required Documents

Depending on partner procedures, you may be asked to provide:

Core documents

• Passport/ID copy
• Updated transcript
• Photo (digital)
• Proof of language proficiency (if required)

Academic documents

• Preliminary course list or Learning Agreement draft
• Department / level information

Tip: Upload readable PDF files with clear file names to speed up processing.

 

Step 4 — Review & Acceptance

After evaluation, you will be informed by email.

Accepted students receive:

• Acceptance Letter
• Pre-arrival instructions (if applicable)
• Orientation and arrival details

Note: The Acceptance Letter is essential for visa/residence procedures. Always check your name and dates.

 

Step 5 — OLA (Online Learning Agreement) & Course Approval

Where applicable, course selection and approvals are handled through EWP – Online Learning Agreement (OLA).

Why OLA matters:

• Ensures courses are approved in advance
• Secures ECTS alignment
• Supports smooth academic recognition after return

Best practice:

• Review the course catalogue early
• Select compatible courses
• Do not delay OLA approvals (last-minute requests cause most problems)

 

3) Deadlines

Nomination and application procedures are conducted within the deadlines announced for each semester. It is important that your home university completes the nomination process within the given dates and that students finalize their application/registration steps on time.

Academic Year 2025 – Fall Semester

• Nomination & Application Period: 1–17 September 2025
• Registration Period: 17 September – 1 October 2025

Academic Year 2025–2026 – Spring Semester

• Nomination & Application Period: 4–20 January 2026
• Registration Period: 20 January – 2 February 2026

4) Pre-Arrival Checklist

After acceptance:

• Check your Acceptance Letter (name/dates)
• Start OLA/course approval
• Arrange accommodation
• Plan visa/residence steps
• Book travel
• Note orientation dates
