Outgoing Students – Step-by-Step Guide

This guide shows you exactly what to do from the moment you decide to apply for Erasmus+ until your academic recognition is completed after you return.

 

A. Before You Apply

1) Check Your Eligibility

Make sure that:

• You are a full-time registered student at Kilis 7 Aralık University
• You meet the minimum GPA
  • Undergraduate / Associate: 2.20 / 4.00
  • Master’s / PhD: 2.50 / 4.00
• You have not exceeded 12 months of Erasmus mobility at the same study level

 

2) Decide Your Mobility Type

Choose:

• Study Mobility (courses at a partner university), or
• Traineeship Mobility (internship abroad)

Decide which semester you plan to go.

 

3) Explore Partner Universities

From the Partner Universities Table, check:

• Universities available for your department
• Course catalogues
• Language of instruction
• Academic calendar and location

Choose universities that best match your academic needs.

 

B. Application (via TURNA Portal)

4) Apply via TURNA

Go to:
👉 https://turnaportal.ua.gov.tr

Log in using your national e-government account and:

• Select Study or Traineeship
• Choose your preferred universities (order matters)

 

5) Upload Your Documents

Typical documents include:

• Transcript
• Student certificate (if required)
• Traineeship acceptance letter (if applicable)

Make sure all files are uploaded correctly before the deadline.

 

6) Take the Language Exam

You must take the foreign language exam organised or recognised by the university.
Your language score counts for 50% of the selection result.

 

C. Selection and Nomination

7) Check the Results

Results are announced as:

• Main list
• Reserve list

Confirm your acceptance within the deadline if you are selected.

 

8) Confirm Your Placement

Before final confirmation:

• Check the host university’s academic calendar
• Ensure it fits your semester
• Make sure you can complete visa procedures on time

 

D. Before Departure (Most Critical Phase)

9) Prepare Your Online Learning Agreement (OLA)

All course selections at Kilis 7 Aralık University are done through
Erasmus Without Paper (EWP) – Online Learning Agreement (OLA).

Steps:

• Select courses from the host university
• Normally 30 ECTS per semester
• Get approval from your department and the institution
• Host university confirms digitally

✅ Golden rule: Without OLA approval, academic recognition is not guaranteed.

 

10) Sign Your Grant Agreement

• Sign the Erasmus grant agreement
• 80% of your grant is paid before departure
• 20% after return and document submission

 

11) Receive Your Acceptance Letter

Your host university sends you an Acceptance Letter.
Check:

• Your name
• Mobility period
• Dates

 

12) Visa, Insurance and Accommodation

• Apply for your visa as early as possible
• Get health and travel insurance covering your entire stay
• Arrange accommodation

 

13) Travel and Final Checklist

• Passport validity
• Flight tickets
• Copies of Learning Agreement, Acceptance Letter, insurance
• Emergency contacts

 

E. During Your Stay Abroad

14) Arrival

• Attend orientation at the host university
• Register and, if required, apply for residence permit

 

15) If You Need to Change Courses

Use OLA – “During the Mobility”:

• Update your courses
• Get all approvals again
  Without this, recognition is not guaranteed.

 

16) Study and Attendance

• Attend classes
• Follow examination rules
• Maintain communication with the host university

 

F. Before Returning & After Return

17) Collect Final Documents

Before leaving, obtain:

• Certificate of Attendance
• Transcript of Records
• (For traineeship) Traineeship Certificate

 

18) Submit Documents and Receive Final Payment

Submit documents to Erasmus Office.
Complete final reports if required.
Receive the remaining 20% of your grant.

 

19) Academic Recognition

• Courses approved in OLA and successfully completed are recognised
• ECTS credits are transferred
• Grades are converted and added to your transcript

 

G. Common Mistakes to Avoid

• Travelling without OLA approval
• Not updating OLA after course changes
• Submitting documents late
• Applying for visa too late
• Incomplete insurance coverage
